What is Presdo?
Presdo is a service that takes the hassle out of trying to find the best time to get together with others. Use Presdo to minimize the annoying ping pong of email, texting, and voicemail when organizing the next team lunch or trying to grab coffee with a friend.
Why should I use Presdo?
Presdo lets you work out the best time when everyone has different schedules. Unlike a calendar program that only tells you about appointments whose times are already fixed, the time for an event in Presdo can start out being flexible.
Presdo lets you propose multiple times for an event, like “Thursday or Friday at 9:30”, or time windows, like “next week”, when proposing an event. You can even ask guests first to suggest a time for an event.
Based on your initial time preferences, Presdo will propose several good times from which all your guests can pick. They can even suggest a different time that works better for them. Presdo keeps track of your guests’ responses and then suggests to you the best times based on everyone’s input. You then decide when it’s good to get together, and everyone is notified.
When you sync Presdo with Google Calendar, Presdo works with your availability by only suggesting times that are available on your calendar, helping you and your guests agree on a time fast and avoid conflicts.
Is Presdo just another calendar program?
Presdo works well with many popular calendar programs, such as Google Calendar and Outlook. Use Presdo to schedule your events, then save them to your favorite calendar program. Presdo also provides up-to-date, automatic syncing with your Google Calendar.
Is Presdo free?
Yes, all of the free features of Presdo will always be free. We’ll be adding more features to make Presdo even better.
Creating Events
How do I create an event?
On the home page, type in a phrase to begin creating your event. You can also use the Presdo Doodad to create events.
You can give information about the time, who your guests are, a short description, and even the location. For example, “coffee next week with Jane at Starbucks”. You don’t have to type in all the details at once, just whatever you want to get started. You’ll have the chance to fill in and confirm the details on the next page.
You can create events to try out Presdo without signing up, but to actually send invites to events, you have to sign up.
What kinds of phrases can I type into Presdo?
Presdo accepts many phrases about events, including when you want to have it, who your guests are, the description, and the location.
It can recognize many phrases about time. Here are just some of the phrases Presdo can recognize:
- Specific times:“next Tuesday at 2pm”, “Apr 10 @ 5:30”, “5/8 10-1pm”
- Keywords:“lunch”, “dinner”, “morning”, “afternoons”, “today”, “tomorrow”
- Choices of times:“thu or fri”, “4/1, 4/4 or 4/5”, “tue, thu or fri morning”
- Time windows:“this weekend”, “thu or fri night”, “next week”, “week of Nov 10”, “in April”
- Time zones:“8am PST”, “10:30am UTC+8”, “20:00 GMT+5:30”
Presdo will also recognize common combinations of the above phrases.
To enter guests on the home page, put “with” or “w/” before the names. Names and/or emails will work.
To type in a location, put “at”, “@” or “in” before the location. You can also enter phone numbers as locations, such as “415-555-1212”.

Can I give people a choice of times, like “thu or fri at 8:30”?
When you create an event, Presdo lets you propose several times to guests so they can pick from the times that might work better for them. Or, you can even leave the time blank and let guests make suggestions before deciding on the time.
Click on the time in the WHEN section to change the possible times you want to offer guests.
For example, if you enter “thu or fri at 8:30”, you are giving guests two options: Thursday at 8:30 or Friday at 8:30.
You don’thave to be that specific in proposing times. You can enter “thu or fri morning”, which expresses your preference for the morning on either day.
If you just enter “thu or fri”, this phrase tells your guests (and Presdo) that you can meet anytime during the day on Thursday or Friday.
You can also enter just a time of day, for example, “mornings”. This means you want to get together sometime in the morning over the next few days with no particular day preference. Presdo will suggest several days in the morning as possibilities for your guests to pick from.

To ask guests first for their time preference for a get together, select the “Ask guests first, then decide date & time” option, and click OK.
How can I change the title of an event?
If you created the event, click the title on the event page to start editing.
Do guests need to sign up for Presdo to see and reply to invites?
Guests do not need to sign up for an account to view events, reply to them, or discuss details of events.
Syncing with Google Calendar
What does syncing Presdo with Google Calendar do?
With this powerful capability, Presdo takes into account your availability when scheduling events. When you schedule with Presdo, only free times on your calendar are suggested to guests and/or the organizer so your scheduling is fast and conflicts are avoided. As Presdo events are scheduled and rescheduled, Presdo updates them to your Google Calendar.
And you don’t have to share your entire calendar with someone else just to schedule an event. When people participating in an event has their Google Calendar synced with Presdo, Presdo acts as a broker, consulting available calendars and only making time suggestions which are available.
Your availability on Presdo is always up-to-date since Presdo regularly syncs with your Google Calendar.
How does syncing with Google Calendar benefit me?
When you sync with Google Calendar, you benefit in the following ways:
If you organize an event on Presdo, Presdo only suggests times to guests that are available on your calendar.
Even when you are a guest to an event, organizers are immediately alerted to a conflict when a time they have entered is unavailable on your calendar. Suggested times for an event are also based on the availability on your calendar.
Scheduling events is quick and easy now since the back and forth needed to find a good time is gone.

Does Presdo syncing work with Google Apps Calendar?
Yes, Presdo works with both standard Google Calendars or Google Apps Calendars.
Will events on my Google Calendar be shared with others on Presdo?
The events on your Google Calendar are private and available to you only on Presdo. They are never shared with your guests or anyone who invites you to an event.

How often does syncing happen?
Presdo regularly connects with your Google Calendar to perform updates.
If you have recently made a change in either app, Presdo will detect that you are actively working with your calendar and syncing occurs more often. During idle times, it might take Presdo more than a few minutes to sync with your Google Calendar. Syncing is never more than an hour behind.
You can always sync immediately with Google Calendar by going to your “Calendar” account settings and clicking ‘Update Now”.
What is the “Presdo Events” calendar on my Google Calendar?
When syncing is enabled with your Google Calendar, Presdo adds and subscribes you to a new Google Calendar called “Presdo Events” (it’s in orange). This calendar is personalized for you. Your standard events and Presdo events are neatly organized.
You should not make changes directly to the events on the “Presdo Events” calendar, since this calendar is managed by Presdo. If you want to reschedule a Presdo event, make the change back on Presdo. There’s a convenient link in the event details of every event on Google Calendar that takes you back!
Locations
Does Presdo enable me to set a location for my event?
When you create an event in Presdo, you can type in an address or even better, pick one using Presdo’s location picker.
To pick a location, click “pick a location” in the WHERE section of the event page to show the location picker.
Presdo makes some guesses about the type of event you are planning and suggests the type of location, such as “restaurants” or “cafes”. You can change what Presdo searches by typing in another location type, for example “Italian restaurants” or “Starbucks”.
Presdo can show locations near you, near any one of your guests, or near everyone. You can also bookmark cities and pick from recently chosen locations.
You and your guests must have entered their locations into the account settings for this feature to work. Set your own location.
Can I enter locations that are not on Google Maps?
Yes, just type in the location that you want, for example, “Apollo conference room”.
More about Events
Can Presdo save events to my calendar?
Presdo can save events to popular calendar programs, such as Microsoft Outlook, Yahoo! Calendar, Google Calendar, Google Apps Calendar, and Apple iCal.
Click the “Save to calendar” button on the event page and select the calendar format you want. If the time of an event changes, you will have to re-save the event and delete the old event from your calendar.
Until a specific time for an event has been set, you won’t be able to save the event into your calendar.
What do guests see after I send invites?
Guests will receive an email with some details of your event.
When they click on the link in their email, they see the event page that is very similar to the one you used to create the event, except there’s a section where they reply. They can reply “yes” or “no”, and optionally include a message along with their reply.
If your initial time preference was not a specific time, Presdo selects a few specific times based on your time preference, and guests are asked to pick from these time choices. Guests usually get three choices, and they are the same for every guest. They can pick one or more of the choices. If none of the choices is good for them, they can enter a phrase giving a different time, choice of time, or time window, just like you did when creating the event.
My guests have suggested other times for my event. What happens next?
When guests suggest other times for your event, Presdo presents you with new choices for a new time based on the replies from your guests. You can decide to keep the original time (if there was one), pick a new time, or even propose a completely different time. You can include a message along with your decision to guests.
The event’s time does not change unless you change it.
How does Presdo determine the best time from everyone’s input?
Presdo makes its suggestions based on the most popular times given by everybody. It shows the most popular times first.
Sometimes, it is not possible for Presdo to satisfy everyone’s demands. In this case, Presdo tries to satisfy the most recent time preferences first.
Can I change my event after I send an invite?
Of course! You can change the details of the event after you send the first invites. You can reschedule the event and change its time, but you can also add and remove guests, set or change the location, and even update the event description.
In most cases, your changes will result in new entries in the “Messages” section so that your guests can keep track of the changes that were made.
You can make multiple changes before sending a notification to guests. When you are done, just click “Send changes” to update your guests and to invite any newly added guests. Guests who have already been invited will not be invited again.
What is the “Messages” area and what does it do?
Everyone who’s invited to an event can discuss the details by posting messages in the “Messages” area. Whenever a new message is posted, notifications are automatically sent to everyone else (except to guests who have replied “no”).
I am not receiving confirmation emails, or my guests are not getting my invites. Why not?
On occasion, invites can end up in spam or junk email folders. If this happens, select these messages in spam folders (or ask your guests to do so) and click the “not spam” button in the email program. This is the best way to cure the problem.
If this keeps happening, please contact us as soon as possible and we’ll see if something can be done on our end.
Presdo has taken steps to meet all requirements to ensure successful delivery of its email notifications. It continues to monitor the effectiveness of such measures and to improve them.
Why is the “From” email address of my invites from event@presdo.com? Can I reply to the invite directly from the email or do I have to go to Presdo.com website?
To avoid sending messages that falsify the identities of Presdo users, Presdo follows industry best practices by sending automatically-generated messages from a presdo.com email address.
You should go to Presdo to reply to an invite so that all communications about the event are organized in the same place. If you need to get back to someone in private about an event, you can usually reply to the email that was sent to you, since these messages have proper “reply-to” headers.
Scheduling and Times
Can I see all my upcoming events on Presdo?
Click the “see your upcoming events” link at the upper right corner of Presdo to see a summary of your upcoming events. For each event, you see when it will happen, if any action needs to be taken, and who’s invited.
This link to the upcoming events page only appears when you have upcoming events or invites to upcoming events.
Does Presdo handle conflicts?
Presdo does its best to prevent conflicts from happening. However, you can be invited to an event that overlaps with another event to which you already replied “yes”. When this happens, Presdo alerts you of this conflict.
You can decide if you want to reschedule one of the events, or just leave it. When possible, Presdo will suggest new times to you to get rid of the conflict using the time preferences you gave for the event.
Will Presdo help me schedule around my other events?
Presdo does its best to avoid getting you into conflicts. If you schedule multiple events in the same time window, Presdo will automatically suggest times to your guests that don't conflict with other Presdo events.
For example, let’s say you propose “thu or fri 10am” for two different events to different guests. If one of your guests picks Thursday at 10am, and you decide to this time for this event, the other guest only gets to pick Friday at 10am, even though you originally gave the same choice of times to both guests. This makes it easy to schedule several events in the same time window without running into conflicts.
However, guests can still manually enter a better time that conflicts with another one of your Presdo events. When this happens, Presdo tells guests there is a conflict and they may want to suggest another time. Presdo never reveals the details of your events to others.
Can I import my existing calendar into Presdo so it will schedule around my appointments?
Yes, Presdo enables you to sync your Google Calendar with Presdo. Presdo will schedule around existing appointments on your Google Calendar. Find out more.
Time Zones
Does Presdo deal with time zones?
Presdo makes it easy to coordinate events with people in other time zones.
Normally, Presdo assumes that any event will take place in the same time zone for all guests, showing the same time to everyone no matter what time zone they are in. When an invited guest is in a different time zone than the event’s time zone, Presdo shows the time with a time zone designator, for example “10am PST”, to clarify that the time is relative to another time zone.
Presdo can also deal with events where guests “meet” from multiple time zones, such as conference calls or chat sessions. In this situation, each guest can see the event’s time according to their local time zone. For example, if you are in California and your guest is in New York, and you arrange a conference call at 10am PST, Presdo can automatically convert times so your guest sees “1pm”. This makes it convenient to discover times that work for everybody even when they are in different time zones. When you create an event, you can set it to show local times to guests.
If you travel or work in different time zones, you can also schedule different events each in their own time zone. Presdo keeps track of the time zone for each event and lets you see all events in the right time zones on the upcoming events page.
How do I set the time zone of an event?
You don’t usually have to set an event’s time zone if your event happens locally. However, you will want to change the event’s time zone when the event’s location is different than your own.
There are several ways to set an event’s time zone:
- Simply type the time zone after any time, such as “8am PST”, “10:30am UTC+8” or “20:00 GMT+5:30”. Popular time zone designators are recognized.
- Choose the time zone from the time zone list. When creating an event, click the WHEN section on the event page and click “Pick time zone” to see a list of time zones. Make sure to pick the time zone that is as close to your location as possible.
- Pick a location for the event. The event’s time zone will be changed to the location’s time zone. This makes easy to plan get togethers in another time zone.
How do I schedule a conference call or chat session with people in different time zones?
To create an event with people participating from different time zones, take the following steps:
- Create an event
- Once on the event page, click the time on the WHEN section to edit it.
- Click the “Show local times to guests” checkbox, then click OK.
Times will be shown to guests according to their local time zone. In addition, you and other guests will be able to see the local times of all other guests, giving everyone a clear idea what time the event will be happening at every location.
How do I set the default time zone for new events?
The easiest way to set your default time zone is to simply enter your current location in your account settings. Change your settings here.
If you do not enter a location in your settings, then Presdo chooses the time zone based on the time zone setting of the computer you are using.
Accounts
Do I need to sign up for an account to use Presdo?
Signing up for an account gives you many benefits, such as the ability to send invites for events, indicate your location and phone number to help coordinate with others, and access your upcoming events. If you haven’t done so, it’s very easy to sign up.
If you are a guest of Presdo invites and only need to reply to invites, you don’t need an account.
Do I have to sign in every time I use Presdo?
No, you can certainly ask Presdo to keep you signed in. The next time you sign in, just check the “remember me” box on the sign in window, and Presdo will keep you signed in on your computer for 4 weeks.
If you are already signed in now, sign out first to get to the sign in window. You can cancel the “remember me” option anytime by signing out.
How do I change my password and other settings?
Once you are signed into Presdo, click on your name in the upper right corner to change your password, location and phone number.
How can I deactivate my Presdo account?

Doodad
What is the Presdo Doodad?
The Doodad provides a convenient way to create events with Presdo directly from your browser without going to Presdo.com. It resides on your browser’s bookmarks toolbar. Whenever you click it, the Doodad appears and allows you to enter a phrase to create a new event, just like you do on Presdo.com. Try the Doodad.
How does the Doodad know it’s me, even if I’m not signed in to Presdo?
The Doodad creates a temporary event even if you are not signed in, but you still need to sign in before you can actually sent invites for the event. You can sign in (or even sign up) on the event page after entering your event.
If you have previously signed into Presdo, or you have checked “remember me” at your last sign in, Presdo will remember who you are whenever you use the Doodad. Checking “remember me” when you next sign in makes it a convenient way to use the Doodad.
How does the Doodad work? Is it safe?
The Doodad is a bookmarklet. Like a bookmark that opens a given web page when you click it, a bookmarklet is a very small JavaScript program that runs only when you click it. The Doodad loads from Presdo.com and appears on any web page you are currently viewing, providing an easy way to create Presdo events.
Privacy
How does Presdo allow me to schedule events without exposing my other events to other people?
The description and details of your other events are never shared with anyone except you. When a guest replies to an invite from you with a specific time during which you are busy, Presdo will let them know that there is a conflict, but will never reveal the specific details of your event.
Presdo recognizes that information about events are private and should only be shared with event participants.
If I enter my phone number into Presdo, how can I share it with only the right people?
Presdo does not share your phone number without your permission. Your phone number is shared only in the following situations:
- Your number is shared with the event organizer if you have ever replied “yes” to an event they organized.
- Your number is shared with all guests with whom you organize an event.
Will Presdo sell my information to other people or companies?
No, this is against Presdo’s Privacy Policy. Presdo takes the privacy of its users very seriously. See the Privacy Policy for more information about how your information is protected.
